Roles and Responsibilities

 To prepare Settlements for All Employees and leave salaries.
 To update and maintain employee-based information in company Software (Focus).
 To prepare payrolls for all employees in accordance with UAE Law.
 Following up and coordination with local Emiratis for Emiratization.
 To maintain individual files for each employee.
 To Collect and file employee documents such as approved employee request form, employee
appointment authorization form, copy of degree certificate, copy of training certificates, copy
of visa, passport.
 To maintain the integrity of employee documents and information.
 To assist HR /Admin Manager to complete the whole recruitment process.
 To keep track on employee labor card expiry date, visa expiry date, Emirates ID expiry date
and their renewal.
 To coordinate with all departments regarding employee leave plan and arrange necessary
document for employee leave clearance.
 To assist HR /Admin Manager for getting employee visa, termination process.
 To coordinate with all dept. Heads to collect any training requirements and to assist the HR /
Admin Manager to plan the trainings.
 To coordinate with the head of departments monitoring the employee to ensure that there are
no illegal practices.
 To assist the HR/Admin Manager to communicate to the employees regarding any changes in
labor law and regulations to be followed.
 To assist newly recruited employees to get settled on and provide any support required by the
employees with the help of HR/Admin Manager.
 To coordinate with the management representative to conduct quality management system
awareness, trainings to newly recruited employee and existing employees.
 To assist HR/ Admin manager to issue various letters such as Memos, Circulars and warning
letters.
 To ensure that employee’s files are properly filed and can be assessed only by authorized
personnel.
 To keep track of incoming and outgoing documents.
 To ensure that UAE Labor law requirements are compiled and if any violation, report
Immediately to HR /Admin Manager.
 Travel booking and hotel reservation and handling transportation.
 Maintaining a record of employee sickness and medical records and informing the HSE Officers
 Communicating with stakeholders and the labour office during times of personnel injury and
incidents.
 Include OSH roles and responsibilities in job description, inductions and training and
performance management programs
 Facilitate and Organize OSH training programs
 Provide information and statistics to assist in the calculation and analysis of key performance
indicators
 Participate and give suggestions in the OSH performance evaluation.
 Letter of assistance (LOA) with Security passes (CICPA) of personnel /vehicles to enter oil
fields (onshore /offshore).

 Comprehensive knowledge of a broad range of HR related issues including labor relations,
diversity, and benefits plan.
 Liaise with ADNOC, contractors and subcontractors for the mobilization of manpower.
 Comprehensive knowledge on ADNOC SEATS system used to fulfil optima/ travel
requirements for offshore based sites.
 Employee health services including insurance benefits, onshore /offshore medicals, visa
medicals, occupational health checkup for all company employees.
 HR Monthly expense reports include security pass, visa renewals, medicals etc.
 Reviewing processes to ensure optimal HR service delivery, improve employee productivity
and organizational effectiveness.
 Manage invoice process for HR transactions with 100 percent accuracy.
 Contributed to an effective internal /external monthly training plan mainly includes (onshore
/offshore based trainings by approved training providers.
 Manpower arrangement till mobilizing to onshore /offshore sites, fulfill necessary
requirements including OPTIMA/ travel cards, CICPA pass and mandatory trainings.
 Maintaining up to date manpower database.
 Coordinate with offshore projects team and subcontractors for manpower planning including
mobilization/ demobilization, hiring / off hiring, supply of manpower as per site requirement.
 Checking and Verifying records /database of suppliers, visitors, staff, clients, vendors etc.
while incoming /outgoing from company premises.
 Maintaining exceptional relationship with engineers and supervisors, addressing inquires
from senior management and communicating with employees.
 Generate all employee reports including timesheets. expenses claims, vacation tracking.
Arrangement of travelling, accommodation, food, certifications, and other required
documentation.
 Coordinate and schedule medicals, survival courses, safety trainings.
 Preparing and updating site registers, queries, complains, weekly and monthly reports.
 Maintain daily weekly and monthly manpower reports and histograms.
 Coordinate and manage site vehicle transport
